This Donor Privacy Policy explains how Millie’s Gift, Inc. (“Millie’s Gift,” “we,” “us,” “our”) collects, uses, and safeguards information about our donors and prospective donors. It should be read together with our general Privacy Policy.
Our promise to donors
- We do not sell, rent, or trade donor information.
- We use your information only to process gifts, send receipts and acknowledgments, recognize your generosity (if you choose), and communicate updates you opt in to receive.
- You may give anonymously and you may opt out of communications at any time.
Who this policy covers
Individuals and organizations that donate to Millie’s Gift (online or offline), make pledges, participate in workplace giving or employer matching, give through donor-advised funds (DAFs), sponsor events, or are listed as honorees for tribute gifts.
Information we collect about donors
- Contact details: name, email, mailing address, phone (optional).
- Gift details: amount, date, method, recurring status, campaign/designation, tribute information, employer match/DAF information, notes you choose to include.
- Payment processing: Credit/debit and bank details are entered directly with our payment processors (Stripe, PayPal) and are not stored on our servers. Processors return non-card data such as transaction IDs and status.
- Preferences: recognition choices (name as given, initials, pseudonym, anonymous), communication preferences, and consent related to tribute notifications.
How we use donor information
- Process gifts and issue receipts, acknowledgments, and year-end summaries.
- Stewardship and recognition: to thank you appropriately and list your name in donor rolls if you have not requested anonymity.
- Communications: to share program updates, impact reports, and opportunities to give or volunteer. You can unsubscribe at any time.
- Compliance and reporting: to meet accounting, audit, and regulatory obligations.
When we share donor information
We share information only as needed to run our programs and the Site:
- Service providers under contract (e.g., Stripe, PayPal, Mailchimp, Postmark/SendGrid, our web host and CRM) who process data on our behalf and are obligated to protect it.
- Matching-gift and DAF platforms when you initiate a match or recommend a grant, to verify your gift and complete processing.
- Tribute notifications: if you ask us to notify a honoree or family, we will use the contact information you provide solely for that purpose.
- Legal and safety: when required by law, subpoena, audit, or to protect our rights or users.
We do not sell or trade donor information.
Recognition and anonymity
We are honored to recognize donors. You may choose how we list your name (full name, initials, organization name) or you may give anonymously. If you prefer not to be publicly recognized, tell us at the time of your gift or email donations@milliesgift.org.
Recurring gifts and account access
If you enroll in monthly giving, our processor stores a secure payment token to run future charges. You may update or cancel a recurring gift at any time through your donor receipt link or by contacting us at donations@milliesgift.org.
Data security and retention
- We use administrative, technical, and physical safeguards and PCI-compliant processors.
- Financial and donation records are retained for at least 7 years for accounting and tax purposes.
Your choices
- Access and correction: request a copy of your donor record or ask us to correct it.
- Communications: unsubscribe using the link in any email or contact us to change your preferences.
- Recognition: ask to be listed differently or remain anonymous.
Children’s gifts
We do not knowingly solicit gifts from children. If a minor contributes, consent from a parent or legal guardian is required for any public recognition.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will post a notice and update the effective date.
